Constantia wedding venues: the catering questions to ask.

Nearly every venue in the valley has a rule about outside caterers. Almost none of them put it on the website. These are the six questions that get you a straight answer before you sign.

Why we are not giving you a list

You will find pages online claiming to list the Constantia venues that allow outside caterers. Be careful with them, and be careful with this page too. Those policies genuinely change, usually when a venue changes its own catering arrangement, and a list written eighteen months ago can be confidently wrong.

We are not going to tell you what any particular estate allows, because the only answer worth having is the one the venue gives you in writing, with your date on it. What we can do is tell you exactly what to ask, in the order that saves you the most money.

The six questions

  1. 1Are outside caterers permitted at all?The only question that can end the conversation. Ask it first, before the tour and before the deposit.
  2. 2Is there a preferred supplier list, and what does it cost to go outside it?A list is not always a ban. Many venues will allow a caterer who is not on it, for a fee. Get the fee as a number.
  3. 3What is actually in the kitchen?Ovens, gas or electric, refrigeration, bench space, water, and whether the caterer may use it at all. Some venue kitchens are display pieces.
  4. 4What are the access times, in and out?When the team may arrive to set up and when everything must be off site. A short load-in window changes what is possible on the menu.
  5. 5Is there a noise curfew?Constantia and Bishopscourt are residential, and curfews are common. It decides whether late-night food is worth planning at all.
  6. 6What does the venue bill us directly?Corkage, kitchen fee, service charge, minimum spend, breakages deposit. This is where budgets move after signing.

Book the venue first

It is the more common order for a reason. The venue fixes your date, your capacity and whether you have any choice of caterer at all. A good caterer can work around a confirmed venue. Booking the caterer first and then finding a venue that will not admit them is the more expensive way round.

What the Southern Suburbs specifically throw at you

Two things, mostly. The first is that a great deal of Constantia and Bishopscourt is residential, so noise curfews are real and they shape the end of your evening rather than the middle of it. Ask early, because it decides whether late-night food is worth planning.

The second is that many of the loveliest spots in the valley are heritage buildings or private homes rather than purpose-built venues. That usually means a small kitchen, a long carry from the parking, and gravel between the two. All workable, all worth knowing in advance. We do that access check ourselves rather than making you relay technical questions back and forth.

What is a venue kitchen fee?

A charge some venues apply when you bring in an outside caterer, sometimes described as a kitchen fee, a catering levy or a supplier fee. It can be a flat amount or a per-head figure, and it is charged on top of what your caterer quotes you. It is one of the most common reasons a wedding budget moves after the venue is signed, so ask for the number in writing before you commit.

Should we book the venue or the caterer first?

The venue, almost always. The venue sets your date, your guest capacity and whether you have a free choice of caterer at all, and good caterers can usually work around a confirmed venue. Booking a caterer first and then finding a venue that will not let them in is the more expensive mistake of the two.

What should we ask a Southern Suburbs venue about catering?

Six things, in writing: whether outside caterers are permitted, whether there is a preferred supplier list and what it costs to go outside it, what the kitchen actually contains, what time the team may arrive and must leave, whether there is a noise curfew, and what the venue bills you directly such as corkage, a kitchen fee or a minimum spend. Those six answers determine most of your catering budget.
